Tradies using Fourth Year

We collect your name, email, mobile number, business name, ABN (if given), trade, services, prices and service area, your card details (held by Stripe, not us), and the result of your ID check (Stripe keeps the ID images; we keep only whether it passed). We use these to run the service, bill you and prevent fraud.

People who call a tradie

When the AI receptionist answers, callers are told they are speaking with an AI assistant and that the call is recorded. We record and transcribe the call and pull out the job details (name, number, address, what the job is and when) to send to the tradie. The tradie is responsible for how they use their customers' details; we handle them on the tradie's behalf and don't use them for anything else. If a tradie sends a job link by SMS, the caller can confirm, move or cancel the job from it.

What we never do

We don't sell personal information, share it for anyone else's marketing, or use callers' details to market to them.

Who we share it with

• Supabase: App database and sign-in. Held in Sydney, Australia.
• Vercel: Running the app. Held in Sydney, Australia.
• Telnyx: Phone numbers, calls, call recording, transcription, AI receptionist and SMS. Held in United States.
• Stripe: Card payments and ID checks. Held in Australia and United States.
• Google: Sign-in, address lookup and calendar (if you connect it). Held in United States.

Some of these providers hold information overseas, so it may be handled outside Australia. We choose providers with recognised contractual protections. We may also disclose information where the law requires it.

How long we keep it

Call recordings and transcripts: while your account is open and for 90 days after it closes. Account and billing records: seven years, as tax law requires. Ask us and we'll delete anything we aren't required to keep.

Security

Data is encrypted in transit, each tradie can see only their own jobs, and secrets are never kept in our code. If a breach is likely to cause serious harm, we will tell the people affected and the Office of the Australian Information Commissioner.

Access, correction and complaints

Email info@ai4uconsulting.com.au to see, correct or delete your information, or to complain. We reply within 30 days. If you're not satisfied, contact the OAIC at oaic.gov.au or 1300 363 992.
